Privacy Policy
Tax Link Christchurch collects and handles personal information in accordance with the Privacy Act 2020.
What we collect
When you use this website, we may collect personal information including your name, email address, phone number, and any details you provide through our contact form or enquiry pages.
If you complete one of our client forms, such as our New Client Form or an Authority to Act form, we collect the information needed to set you up as a client and to act as your tax agent. This includes your full name, IRD number, date of birth, postal address, phone number, email address, and your signature, together with the authority you give us to act on your behalf with Inland Revenue. This applies whether you complete the form online or on paper. Some of this is sensitive information, and we handle it accordingly.
Our website also collects technical information automatically, including your IP address, browser type, pages visited, and time spent on the site. This data is collected through Squarespace's built-in analytics and, where applicable, Google Ads conversion tracking.
Why we collect it
We collect personal information to respond to your enquiries, provide our services, and improve your experience on our website. When you contact us, we may add your details to our practice management system so we can track the time we spend responding to your enquiry.
Where you complete our New Client Form or an Authority to Act form, we collect this information to register you as a client, to act as your appointed tax agent, and to deal with Inland Revenue on your behalf as you have authorised. This includes preparing and filing returns and obtaining information relevant to your tax affairs.
Technical and analytics data helps us understand how visitors use our site so we can make it more useful.
We do not use your personal information for any purpose other than what it was collected for, unless we have your consent or are required to by law.

If Google Ads tracking is active on this site, Google may use cookies to measure ad performance. You can opt out of personalised advertising through Google's Ad Settings.
Who we share it with
We do not sell your personal information.
To act as your tax agent, we share relevant information with Inland Revenue as you have authorised us to. Where necessary for your tax affairs, and as set out in the authority you give us, we may also obtain information from and share information with financial institutions and other relevant parties.
We also rely on trusted service providers to run our business and to receive and deliver our online forms. These include our website platform (Squarespace), the service that receives and routes our online form submissions (Cloudflare), the service that delivers those submissions to us by email (Resend), our email provider (Microsoft 365), advertising services (Google), and our practice management software (MYOB). Each provider is given only the information it needs and is expected to handle it responsibly. Some of these providers process information on servers located outside New Zealand.
If we are required to disclose information by law, we will do so.
How we store and protect it
We take reasonable steps, appropriate to the sensitivity of the information, to protect your personal information from misuse, loss, and unauthorised access or disclosure.
General website and enquiry information is handled by Squarespace and may be stored on servers located overseas. Enquiry and client details may also be stored in our practice management software (MYOB), which is hosted in Australia.
When you submit one of our online client forms, the form is turned into a PDF in your own browser and sent to us over an encrypted connection. It is delivered to us by email and held within our firm's email system, rather than stored on this website. If you provide an email address, a copy is also emailed to you, so please keep your own copy secure.
If you complete a paper form and return it to us, we store it securely at our office and record the relevant details in our systems.
As with any email or online service, no method of transmission or storage is completely secure. We take reasonable steps to safeguard your information, but we cannot guarantee absolute security.
How long we keep it
We keep client records, including completed forms and the information in them, for at least seven years, consistent with the record keeping requirements that apply to tax records in New Zealand. We may keep information for longer where we have a legitimate business or legal reason to do so. When information is no longer needed, we dispose of it securely.
Your rights
Under the Privacy Act 2020, you have the right to ask what personal information we hold about you and to request corrections if anything is inaccurate. We will respond to any request within 20 working days.
